Queens Community House (QCH) seeking a qualified Program Assistant who will perform a variety of administrative and clerical duties within our Learning to Work (LTW) program at Voyages Preparatory High School in Elmhurst, Queens. The LTW Program is an alternative pathway to graduation for youth 17 years and older, funded by The NYC Department of Education and implemented in collaboration with QCH.  We are committed to providing support services to students who desire to pursue their high school diploma. Overall duties include all aspects of recruitment and registration, alumni outreach, and assisting in daily office needs.                                          


  • Schedule all aspects of the student recruitment process including but not limited to individual student interviews, family assessments, and group interviews
  • Track and file the student admissions process paperwork and field all recruitment inquiries
  • Ensure that required follow-up contacts are made to graduates (at 1 month, 6 months and 1 year intervals)
  • Assist counselors with attendance outreach, including home visits and work site visits
  • Escort students on trips to make sure DOE guidelines and policies are adhered to
  • Assist with meeting coordination, gathering materials and documents, and arranging catering needs
  • Assist with maintenance of agency records
  • Receive, direct all calls and visitors, answer inquiries, provide program information, and make referrals
  • Ensure outgoing communications are current and up to date; removing and acquiring flyers and brochures to display in designated area.
  • Maintain communication with Program Director informing them of programmatic changes and/or issues that affect operations or onsite safety
  • Ensure timely responsiveness to communication, scheduling, and all other operational duties of the office
  • Monitor and maintain VOYAGES program’s social media platforms in compliance with all agency social media policies
  • Create and distribute flyers for events and trips
  • Work collaboratively with DOE staff
  • Meet weekly with immediate supervisor
  • Attend staff development trainings (as needed)
  • Attend agency staff meetings and events, after school, student, and parent events
  • Perform all duties related to carrying a primary counselor caseload, including attendance outreach, one-on-one counseling, and post-secondary planning, if applicable
  • Record all interventions in Google docs
  • Other duties and special projects as assigned


  • High school degree or equivalency required; some college a plus with 1-2 years of administrative or front office experience
  • Proficient in Microsoft Word and Excel; willingness and ability to learn other computer programs
  • Proven ability to be proactive with excellent troubleshooting and problem solving skills
  • Excellent interpersonal, organizational, and communication skills
  • Ability to maintain confidentiality, professionalism, and use appropriate discretion
  • Bilingual, Spanish preferred
  • Demonstrated attendance and punctuality in meeting required schedule

Additional Information:
STATUS: Part-Time

SALARY: High $20K range annually

SCHEDULE: Hours vary between Monday-Friday 8:00 am - 4:00 pm, with flexibility for events, home visits, meeting and training time
